Group Booking Terms & Conditions

Thank you for the opportunity to invite your group to experience the entertainment and excitement of Motorsport at Bay Karts Tauranga.
Our management believe it is important to provide you with safe and enjoyable entertainment that will be a highlight of your summer in the Bay of Plenty.

For all race events the following is required: 

1. A deposit of 50% of the package price is required to secure your group booking. Your race event and options must be confirmed at this stage. Our booking fee will be credited on your event invoice. If you have selected a catering option, that cost (as itemised on your invoice) is required at the time of the deposit as well.
2. You must turn up with the correct number of drivers you have booked. Any change to driver numbers must be confirmed 48 hours prior to your booking. Package prices will be charged, even if less drivers turn up on the day.
3. All drivers must arrive and sign in 20 minutes prior to your group booking time. Due to a high volume of bookings in some seasons, if your booking runs over the maximum time listed because of late arriving drivers, Bay Karts management may be forced to shorten your race event at the cost of your group.  
4. All drivers must be briefed on racing rules and how to operate the karts safely operated prior to racing.  (Drivers not signed in and briefed on time may miss out on racing).       
5. Consumption of ALCOHOL or DRUGS prior to racing prohibits you from driving. 
6. If bad weather on the confirmed date interrupts the event, or weather conditions are unsafe to operate your event, you can re-book the group event for another date within 3 months of the first date. Please note: If you do not wish to re-book the event the deposit is non refundable, unless a prior agreement is made with Bay Karts management and clearly noted on your booking form, or in writing when the booking is made.

Conditions of cancellation: 

• If you wish to cancel the event due to bad weather conditions and have made a prior arrangement with Bay Karts management for full cancellation, the cancellation of this event will be made by our duty manager on the day of the event and may be left until up to 1 hour before the event.  If the event is cancelled because of bad weather conditions and a prior agreement was made and noted on your booking form, then no cancellation fee will be charged and your deposit will be fully refunded.
• If a secured booking is cancelled 21 days or more before the confirmed event date, the deposit will be fully refunded. This excludes November and December bookings.
• If you wish to change your event date, you can re-book your event up to 14 days before the secured event date. This excludes December bookings.

Choose between various styles of race packages. All options can be modified or upgraded to suit your requirements. On Race completion in all of our packages, the top 3 drivers/teams will stand on our podium and may receive a trophy or medals (depending on which option you choose).
