Thank you for the opportunity to invite your group to experience the entertainment and excitement of an event at Bay Karts Tauranga.
Our management believes in order for all events to be a success, it is important that they are both safe and enjoyable for all parties.
Please Note: Bay Karts is 100% alcohol free. We are not licensed for BYO and have been advised we can not facilitate ‘after match drinks’ at this point in time.
All/Any drivers may be breath tested prior to operating karts, if staff have any doubts.
For all group events the following is required:
A deposit of 50% of the package price is required to secure your group booking. Your type of race event, number of drivers and options must be confirmed at this stage. You will be invoiced for the deposit and that payment is required within 7 days to reserve your time slot.
Full payment is required no later than 15 days before your event. For events booked within three weeks of the event date, full payment is required in order to confirm your booking.
If you have selected a catering option, that cost (as itemised on your invoice) is required at the time of the deposit as well.
You must turn up on the day of your event with the correct number of drivers you have booked. Package prices can not be reduced due to lower driver numbers on the day. Certain event types require additional resources, including staffing. Part of this is due to Health & Safety. Driver numbers are confirmed at time of full payment, three weeks prior to your booking.
All drivers must arrive and sign in 20 minutes prior to your group booking time. Due to a high volume of bookings in some seasons, if your booking runs over the maximum time listed because of late arriving drivers, or racer created delays (crashes), Bay Karts management may be forced to shorten your race event at the cost of your group. See time certain "Maximum Time" for your package.
All drivers must be 15 years of age and over, and briefed on racing rules and how to operate the karts safely prior to racing. (Drivers not signed in and briefed on time may miss out on racing).
Consumption of ALCOHOL or DRUGS prior to racing prohibits you from driving.
If bad weather on the confirmed date interrupts the event, or weather conditions are unsafe to operate your event, you can re-book the group event for another date within 3 months of the first date. Please note: If you do not wish to re-book the event the deposit is non refundable, unless a prior agreement is made with Bay Karts management and clearly noted on your booking form, or in writing when the booking is made.
Conditions of cancellation:
If a secured booking is cancelled 21 days or more before the confirmed event date, the deposit will be fully refunded. This excludes November and December bookings.
If you wish to cancel your booking due to bad weather conditions and have made a prior arrangement with Bay Karts management at the time of booking, your payment can be held as credit for a future event within 3 months.
For full cancellation due to weather, in the interest of safety of all parties, Bay Karts will make a decision on the day of the event. This may be left until up to 1 hour before the event. Our outdoor track is in an open zone where rain can blow over faster than at other locations around the bay.
If the event is cancelled by Bay Karts management because of bad weather conditions and a prior agreement was made, then no cancellation fee will be charged and your payment will be fully refunded. The customer can still reserve the right to use the credit to rebook another date.
To Confirm a Booking:
After you find the package that suits your group, check with us about track availability and making your booking. Booking sheets can be obtained by emailing our office on firstname.lastname@example.org . Fill out a booking sheet and return with your payment to confirm your time slot.
